While the public Eso Jobs website connects candidates to opportunities, a powerful system runs behind the scenes. TechWaiv built a secure recruitment and candidate management platform that manages the entire recruiting operation—from registering candidates and tracking applications to scheduling appointments and handling invoicing.

Problem: Recruitment operations were hard to manage at scale

Running a recruitment service means coordinating many moving parts: candidates at different stages, job orders from client companies, applications moving through a pipeline, appointments, payments, and a team of admins, recruiters, and receptionists. Without a centralized system, this work became scattered, error-prone, and hard to secure.

Our approach: A secure, role-based recruitment platform

We designed the system around the way recruitment teams actually work. Every user gets a role-based dashboard with access to exactly the tools they need, and branch-aware access control keeps data securely scoped across the organization.

  • Multi-role access for admins, recruiters, receptionists, and candidates
  • Branch-aware access control using session state and helper libraries
  • Clean login flow with role-specific dashboards
  • Secure handling of candidate data and documents
  • Comprehensive, maintainable MVC architecture

What we built

The Eso Jobs management system became a complete recruitment platform with interconnected modules:

  1. Multi-role authentication with distinct dashboards for each user type
  2. Candidate management covering registration, profiles, documents, and ledgers
  3. Job order and company management for tracking client opportunities
  4. Application pipeline with stage tracking and filterable views
  5. Appointment scheduling with calendar view and automated reminders
  6. Payments and invoicing with receipts, expenses, and reporting
  7. Web push notifications for real-time recruiter updates
  8. Branch management and system configuration for super admins

Candidate lifecycle management

The heart of the system is its candidate management. Recruiters and admins can register candidates, build detailed profiles, upload documents, and track a full candidate ledger—keeping everything in one secure place.

  • Add, edit, update, and view candidate records
  • Candidate profile views with complete history
  • File and folder management for candidate documents
  • Branch-scoped candidate records and ledgers
  • Search and pagination for large candidate lists

Pipeline, appointments, and finance

Beyond candidate records, the system connects recruitment operations to scheduling and finance:

  • Job orders and client company management
  • Application pipeline with stage movement and filtering
  • Appointment calendar with AJAX event feeds and status changes
  • Invoice creation, payment tracking, and receipt printing
  • Expense categories and transaction logging

Technology and implementation

We chose CodeIgniter PHP for its reliability, security, and MVC architecture—ensuring the system is maintainable and scalable:

  • CodeIgniter for a robust, secure backend framework
  • MySQL database with optimized queries for recruitment data
  • Role-based and branch-aware access control
  • Web Push API for real-time recruiter notifications
  • Automated cron tasks for appointment reminders

Results for Eso Jobs

The management system is now live and actively powering Eso Jobs' recruitment operations:

  • A secure, centralized place for all recruitment data
  • Clear role-based workflows that match how teams work
  • Streamlined candidate, job, and pipeline management
  • Integrated scheduling, payments, and reporting
  • Branch-aware access control and full system configurability

Why recruitment management systems matter

For a recruitment business to scale, its operations need to run on a system designed for the job:

  • Centralize candidate data for faster, better decisions
  • Reduce manual work and human error across the pipeline
  • Keep sensitive data secure with role-based access
  • Connect recruiting, scheduling, and finance in one workflow
  • Gain reporting insights to improve placements

Lessons learned and future improvements

This project reinforced the value of building recruitment software around real workflows and strong role-based security.

  • The importance of role-based design for complex operations
  • How branch-aware access control keeps multi-team data secure
  • The value of connecting candidate, pipeline, and finance modules
  • Why a maintainable MVC architecture supports long-term growth

Future updates will continue to enhance the pipeline analytics, candidate experience, and reporting capabilities.
